Do not provide patient information, medical records, payment-card information or other sensitive personal information through the general inquiry form or Claire.
3. How We Use Information
We use personal information to respond to inquiries; compare equipment and prepare quotes; verify purchaser, product and regulatory information; administer agreements, invoices and orders; coordinate payment, manufacturing, shipping, delivery, education, warranty and support; maintain required business and regulatory records; operate and secure the website; understand website use; prevent fraud; meet legal obligations; and send promotional messages where authorized.
We obtain additional consent before using personal information for a materially different purpose where required.
4. Consent and Communication Choices
When you submit an inquiry, you authorize us to respond and follow up regarding that inquiry using your selected contact method.
Consent to promotional email or text messages is separate and optional. You may unsubscribe using the instructions in a message or by contacting us. Unsubscribing from marketing does not prevent service messages about an active inquiry, quote, order, delivery, education or warranty matter.
You may withdraw consent subject to reasonable notice and legal or contractual restrictions. Withdrawal may affect our ability to provide a requested product or service
6. Processing Outside Canada
Some service providers may process or store information outside Canada, including in the United States. Information in another country may be subject to that country’s laws and accessible to its courts, law-enforcement or government authorities.
7. Cookies and Analytics
Our website uses cookies and similar technologies for website operation and analytics. Services present on the site include Framer, Google Analytics, Google Tag Manager and Jotform.
Where required, non-essential analytics technologies are used only after consent. You can also limit cookies through your browser settings, although some website features may not function properly.
If True North adds advertising pixels, remarketing or new tracking services, this Policy and the website’s consent controls must be updated before those tools are activated.
8. Claire
Claire is an AI support agent provided through Jotform. Information entered into Claire is processed to generate responses and provide support. AI responses may be incomplete or inaccurate.
Do not enter patient information, medical records, payment information, passwords or other sensitive information into Claire. Confirm important product, licensing, pricing, warranty and purchase information directly with True North.
9. Retention
We retain personal information only as long as reasonably necessary for the purposes described in this Policy and to meet legal, regulatory, tax, accounting, warranty, complaint, recall and contractual requirements. Retention periods depend on the record and its purpose.
Information that is no longer required is securely destroyed, deleted or anonymized, subject to legal requirements and reasonable backup cycles.
10. Safeguards
We use administrative, technical and physical safeguards appropriate to the sensitivity of the information. Access is limited to people and service providers that require the information for an authorized purpose.
No method of electronic transmission or storage is completely secure. We cannot guarantee absolute security. We investigate privacy incidents and provide required records and notifications where applicable.
